πŸ”— Exact Online: Translating Purchase Orders

Exact Online allows you to register purchase orders in multiple languages. This ensures that when Optiply sends a purchase order to your system, it generates the document in the correct language for that specific supplier.

Follow these three steps to configure your translations.

Step 1: Enable Languages

First, you must activate the languages you intend to use within your Exact environment.

  1. Navigate to Settings:

    Click on your Company Name (top left) β†’ Settings.

  2. Open Language Tab:

    Click on the Language tab.

  3. Add Languages:

    Select and add all the languages you wish to support (e.g., English, German, French).

Step 2: Set the Supplier Language

Next, define which language should be used for each specific supplier. Future purchase orders for this supplier will default to this selection.

  1. Navigate to Vendors:

    Go to Accounts β†’ Vendors β†’ Overview.

  2. Select Vendor:

    Click on the specific supplier you want to edit.

  3. Edit Settings:

    Click Edit.

  4. Select Language:

    Under the General heading, find the Language field and select the appropriate language for this supplier.

Step 3: Translate Product Descriptions

Finally, you must provide the actual translated text for your products.

  1. Navigate to Articles:

    Go to Inventory β†’ Articles β†’ Overview.

  2. Select Product:

    Click on the product you want to translate and click Edit.

  3. Enter Translations:

    Under the General heading, look for the Description field.

    • Click the globe icon (or similar translation interface, depending on your Exact version) next to the description.

    • Enter the product description for each active language.

Result in Optiply

When you generate a Purchase Order from Optiply:

  • The system checks the Supplier Language you set in Step 2.

  • It retrieves the Translated Product Description you entered in Step 3.

  • The final Purchase Order in Exact Online will display the product information in the supplier's native language.

πŸ’‘ Tip: Item Codes If you also adjust the Item Code Supplier (Supplier's SKU) in Exact Online (under Suppliers / Item settings), this will also be displayed correctly on the translated purchase order.

What happens if I don't enter a translation for a product?

If a specific translation is missing for a product, Exact Online typically defaults to the standard (primary) description of the item.

Do I need to change anything in Optiply?

No. Optiply simply triggers the purchase order creation. Exact Online handles the logic of which text description to display based on the supplier's settings defined above.

Can I translate the Unit names (e.g., "Box")?

Yes, unit descriptions can often be translated in the Master Data settings in Exact Online, similar to how product descriptions are handled.
