Purchasing Units Exact Online

Purchase units ("order per") can be entered in Exact. However, this is not a foregone conclusion, which is why we will explain in this article how to enter them.


Units within Exact Online are separate entities and you can create them separately. You can give them a separate name, for example "box of 6". Attention! The number of pieces a unit can contain is separate from this and can be different for each product. 

To create units in Exact you do as follows:

  • go to Manage your current administration > Master data
  • go to Articles > Units > New

Create the new units here. We recommend to keep them as generic as possible, but mention the number of units in the name, e.g. "package of 7" or "box of 6".


Purchasing units 

Now the units have been created we can use them to buy. The purchasing units within Exact are defined at the supplier of the article. The purchase units can be equal to the sales unit or a multiplication of the sales unit, so make sure it is set correctly. 

An article can have the sales unit "Pieces" and the purchasing unit "Box". Per supplier must be indicated with which factor the sales unit must be multiplied to have the quantity of the purchasing unit. For a package with 7 pieces, this is the factor 7.

Purchase units set you as follows:

  1. go to Manage your current administration > Master data
  2. go to Articles > Articles 
  3. select the product you want to edit
  4. go to Pricing management 
  5. Click on Edit behind the supplier in question 

Choose the right purchasing unit here at Purchasing unit and indicate how many pieces it consists of. Also fill in the purchase price of the unit.




The name of the unit and the number of pieces it contains are independent of each other and may vary from product to product!


Optiply reads the purchasing units as "order by" and ensures that new purchase orders are made with the correct units. 


Set the package size on the purchase orders that you export from Exact. This way there can be no confusion at the supplier or in the warehouse when the order is received.
