The Adjust Order Size feature allows you to instantly recalculate the recommended quantity of products in a purchase order. This is useful when you need to quickly increase or decrease the purchase volume to hit a specific stock goal or meet a supplier's promotion requirement without manually editing every product line.

What the "Adjust Order Size" Feature Does

This function applies the multiplier to the calculated purchase advice quantity and then uses the product's ABC Classification to determine the final rounding logic.

Step 1: Preliminary Adjustment

The initial adjusted advice is calculated by multiplying the product's current Purchase Quantity Advice by the value you set in the Adjust Order Size field:

Adjusted Advice (Preliminary) = Product Quantity Advice x Adjust Order Size

Example: If the advice is 55 units and the factor is 1.11, the result is 55 x 1.11 = 61.05

Step 2: ABC Classification Rounding

After the multiplication, the resulting quantity is rounded based on the product's strategic classification to manage risk and commitment:

Example: If the preliminary advice is 61.05, a Category A product will be rounded up to 62, while a Category B or C product will be rounded to 61.

Step 3: Final Constraint Check

The result from the ABC rounding is then treated as the final desired quantity. Optiply applies all remaining supplier constraints to this quantity:

  • Lot Size / Package Requirements

  • Minimum Order Quantity (MOQ)

  • Minimum Stock Level

The highest resulting value after all these rules are applied becomes the final suggested order quantity.

Note on Manual Edits: Using the Adjust Order Size feature will overwrite any manual quantity adjustments you have made to product lines within the purchase order before clicking the recalculate button.

How to Recalculate the Order

Follow these steps to apply the order factor and recalculate the purchase advice:

  1. Open the Order: Navigate to the specific purchase order you wish to modify.

  2. Locate the Adjuster: Find the Adjust Order Size selector within the order view.

  3. Enter the Factor: Select or type in the desired order factor (multiplier).

    • To increase the order: Use a factor greater than 1.0 (e.g., 1.25 to increase advice by 25%).

    • To decrease the order: Use a factor less than 1.0 (e.g., 0.80 to decrease advice by 20%).

  4. Confirm Recalculation: Click the Adjust Order Size button to apply the new factor.

The system will instantly recalculate and display the new suggested quantities for all products in the order.

When should I use the "Adjust Order Size" feature?

This feature is best used when you have a temporary goal for a specific order. Examples include:

  • Meeting a Vendor Minimum: If the order value is slightly below the required total.

  • Promotional Purchase: Temporarily increasing inventory for an expected sales spike.

  • Shipping Optimisation: Adjusting the size to fill a container or pallet exactly.

What is the difference between increasing the order size and manually editing the quantity?

When you manually edit the quantity, you are only changing one product line. When you use Adjust Order Size, you apply the multiplier to the target stock level for all relevant products in the order, recalculating the advice while respecting lot sizes and MOQs across the entire order.

If I adjust the order size, are lot sizes and MOQs ignored?

No. Even when you adjust the order size, Optiply's calculation ensures that the final suggested quantity always adheres to the Minimum Order Quantity (MOQ) and any required Lot Sizes (order in multiples of) that you have set for the product.

I adjusted the order size, but the quantities didn't change much. Why?

This can happen for two reasons:

  1. MOQ Limit: If the product's Minimum Order Quantity (MOQ) is already higher than the adjusted purchase advice, the system will keep the quantity at the MOQ.

  2. Rounding: The quantity may be rounded up or down based on lot size requirements, which can minimise the visible change.
