Learn how to configure your foundational account settings in Optiply. Update your company name, currency, time zone, inventory keeping costs, and default receipt quantities.

The General page within your Settings acts as the foundational profile for your Optiply account. Here, you can configure the basic company details, financial parameters, and localisation preferences that dictate how the system displays your data and formats your orders.

To access this page, navigate to Settings in the main top menu and select General (it is the first option in the left-hand sidebar).


🏒 1. Company Profile & Identification

This section defines your business's identity both internally and when communicating with suppliers.

  • Company name: The official company name entered here will be automatically displayed in your outgoing emails and printed on your generated purchase orders.

  • Global Location Number (GLN): The GLN is a unique 13-digit identifier used to pinpoint the specific physical or operational location of your warehouse. This number is vital when placing automated orders through EDI (Electronic Data Interchange).

Note: Because this identifier is tied to your core integrations, it may be locked. To set or update this number, please contact your Customer Success Manager or email support@optiply.nl.


πŸ“¦ 2. Logistical & Financial Parameters

These settings influence your daily warehouse workflows and how the algorithm calculates your carrying costs.

  • Default receipt quantity: This setting allows you to choose the default quantity shown when you are receiving stock in the Delivery editor. You have two options:

    • Remaining quantity: The system will automatically pre-fill the exact amount of stock you are expecting to receive.

    • Zero: The system will leave the receipt quantity at 0, forcing your warehouse team to manually type in the exact amount they physically counted.

  • Inventory keeping costs: We estimate inventory keeping costs using a percentage of your inventory value. Enter the yearly interest percentage of your purchase price you would like the algorithm to use, taking into account the combined costs of interest, warehouse space, and risk. (In the example image, this is set to 20%).


🌍 3. Localization

Ensure Optiply matches your physical location and financial reporting by setting these two fields:

  • Currency: Select your preferred display currency (e.g., EUR, Euro, €) from the dropdown menu. This updates how financial metrics are displayed across all your dashboards.

  • Time zone: Choose your preferred time zone (e.g., (GMT+1) Portugal) to ensure all order timestamps, cut-off times, and nightly algorithm syncs align perfectly with your local workday.

Once you have adjusted your company details, costs, or localisation settings, you must lock them in!

Always remember to click the Save button located in the top right corner of the screen before navigating away from the page, or your new settings will be lost. (If you make a mistake, you can also click Undo changes to revert to your previous settings).

Why can't I edit my Global Location Number (GLN) myself?

Your GLN is a critical, globally recognised supply chain identifier that often ties into your EDI setups. To prevent accidental disruptions to your automated vendor communications, this field is locked. Our Support team handles this to ensure a seamless and safe update.

What is a normal percentage to put for "Inventory Keeping Costs"?

While this varies heavily by industry and product type, a standard rule of thumb for inventory carrying costs is usually between 15% and 25%. This percentage represents the annual cost of holding inventory (including warehouse rent, utilities, insurance, depreciation, and labour). If you are unsure what to input, check with your finance or operations team!

Will changing my Time zone affect my scheduled orders?

Yes! Your time zone dictates exactly when Optiply considers a "day" to start and end. This directly impacts supplier cut-off times, delivery ETA calculations, and exactly when the nightly algorithm sync runs. Always make sure this is set accurately to your warehouse's physical location.
