User Settings

Learn how to manage your team in Optiply. Discover how to invite new users, assign company roles, and configure specific module permissions.

๐Ÿ‘ฅ The Users Settings Page

The Users page within your Settings is your central hub for managing your team's access to Optiply. From this page, you can invite new team members, designate your primary support contact, and tightly control exactly which modules each user can view or edit.

To access this page, navigate to Settings in the main top menu, then select Users from the left-hand sidebar.


โœ‰๏ธ 1. Support Email & Invitations

At the very top of the page, you will find two overarching settings for your account access:

  • Support Email: Here, you can input the designated email address responsible for support within your organisation.

  • User Invitations/Requests: This section contains a table showing any pending invites or access requests. You can click the + Invite user button to send an access invitation to a new team member.


๐Ÿ› ๏ธ 2. Managing Your Team (The Users List)

Scroll down to the Users section to see a complete list of everyone who currently has access to your Optiply account. The table displays their Name, Email, and assigned Company Role.

You will also notice a Shop administrator badge next to certain names. This indicates a user has full, unrestricted access to the platform.

To modify a specific user, click the three-dot menu (โ‹ฎ) on the far right side of their row. This will open an action menu with four distinct options:

Here is a breakdown of exactly what you can do from the user action menu.

A. View Permissions

Select this to open a read-only snapshot of the user's access rights. This is a quick way to double-check what a team member can see without accidentally changing their settings.

B. Edit Permissions

Select this to actively modify what the user is allowed to do inside Optiply.

  • Shop Administrator: Check this box to instantly grant the user access to all available features, as well as the ability to invite new users and change permissions for others.

  • Granular User Permissions: If they are not an administrator, you can manually set their access level (View, Edit, or No access) for each individual module:

    • Analytics

    • Purchase orders

    • Deliveries

    • Products

    • Suppliers

    • Promotions

    • Assembly orders

    • Settings

C. Edit User (Company Roles)

Select this option to update the user's internal job title or function. While the email address is locked, you can use the Company roles multi-select dropdown to assign specific titles (like Purchaser or Supply Chain Analyst).

D. Remove User

If a team member leaves the company or no longer needs access to Optiply, select this option to revoke their login rights.

โ“ 4. Frequently Asked Questions (FAQs)

What is the difference between a "Shop administrator" and granular permissions?

A Shop administrator has total, unrestricted access to the entire Optiply platform. This includes the ability to view all data, change overarching settings, and invite or remove other users. Granular permissions allow you to lock down specific pages for regular team members (for example, giving a warehouse worker "Edit" access to Deliveries, but "No Access" to financial Analytics).

I removed a user by accident. How do I get them back?

Because removing a user permanently revokes their access and cannot be undone, you cannot simply "restore" them. You will need to send them a brand new invitation using the + Invite user button at the top of the page.

Why can't I edit a user's email address in the "Edit user" menu?

Email addresses act as the unique login identifier for every Optiply account, so they are permanently locked once the account is created. If a team member's email address changes, you will need to invite their new email address as a new user and remove their old account.
