⚑ The Live Purchase Editor

In the fast-paced world of inventory management, stock levels and forecasts can change by the minute. To ensure you are always ordering the right amounts, Optiply features a Live Editor for your purchase orders.

In the live editor, updates to your products and their purchasing advice are automatically incorporated while you are editing the advice. This way, your order will always stay up to date with the latest changes to your stock, forecast, or any other product data.

Don't worry: Any order lines that you have already manually updated will not be overwritten by the system!


πŸ”„ 1. How Auto-Updates Work

When you open a proposed order, the Live Editor gets to work in the background.

  • The Triggers: Every single change you make in the order triggers the editor to check for updates across all products on the list. Additionally, periodic background checks are conducted to ensure all data remains current even if you are just reading the screen.

  • The Indicator: You will always know when the system is actively working. When auto-updates are enabled, the indicator Auto-updates: On will light up in green at the top of your screen, signalling that calculations are being applied in real time.


🧐 2. Verifying Your Order

Because the numbers can shift while you are working, it is highly advisable to verify large or expensive order lines by reviewing their delivery reliability and quantities before hitting "Order".

How to check what changed: If you step away for a coffee and come back to the editor, you can easily see what the system updated in your absence. Simply sort your current order columns by Advice updated (ascending). This will instantly show you which lines were updated most recently!


⏸️ 3. Managing & Pausing Auto-Updates

Sometimes, you just want the numbers to sit still while you do your final math. If you prefer not to have your order lines updated while you edit, you can easily pause the Live Editor.

Step 1: Save as Draft. Navigate to the Save Order button. Clicking this takes the live, proposed advice and converts it into a static Draft Order.

Step 2: Final Review. In this draft phase, auto-updates are completely turned off. The data is frozen, allowing you to make your final manual adjustments and confirm the order details without the system making any background changes.

Once your final review is complete, you can confidently place the order directly from your Drafts!


❓ 4. Frequently Asked Questions (FAQs)

Will the Live Editor overwrite the quantities I just manually typed in?

No! Optiply's algorithm is smart enough to respect your manual inputs. If the system recalculates that you need 50 units, but you manually typed in 60 units to hit a supplier's minimum order value, the Live Editor will lock in your 60 units and will not overwrite that specific line.

Why would I want to turn off auto-updates and save a draft?

If you are processing a massive, complex purchase order that takes you an hour to review, sales might happen on your webshop during that hour. This could cause the Live Editor to slightly shift the advice numbers while you are working. Saving it as a Draft freezes the data at that exact moment so you can review a static list without the numbers moving around.
