π€ Using the Snooze Function in Purchase Orders
The Snooze function is a tool found within the Purchase Order screen that allows you to temporarily skip buying a specific product.
When you snooze a product, two things happen immediately:
Removal: The product is removed from the current purchase order.
Deferral: The product is set to a temporary Phase-out status until the date you define or your first regular order moment.
How to Snooze a Product
You can access this feature directly while editing a purchase order.
Open Purchase Order: Navigate to the purchase order you are currently working on.
Locate Product: Find the line item you wish to skip.
Click Snooze: Select the Snooze button next to the product.
Set Duration: Choose how long you want to snooze the item:
Snoozing with Negative Stock
There is an important exception to the Snooze rule when a product is on backorder (negative stock).
The Rule: If you snooze a product that has a negative stock position, Optiply will not remove the product completely. Instead, it will update the order quantity so that your stock will become 0.
Why? This prevents you from ignoring customer orders that need to be fulfilled, ensuring you buy just enough to cover the deficit.
β Frequently Asked Questions (FAQs)
What is the difference between Snooze and Phased Out?
Snooze: A temporary action for a single order cycle or specific duration. The product automatically wakes up and resumes normal purchasing after the set date.
Phased Out: A permanent status change (until manually reversed) that stops Optiply from holding stock of the item indefinitely.
Can I unsnooze a product if I change my mind?
Yes. You can usually find snoozed items in a specific tab or filter within your purchasing overview. You can manually reactivate them to bring them back into the current order advice.
Does snoozing affect the forecast?
No. Snoozing is a purchasing decision, not a demand signal. Optiply continues to track sales and calculate the forecast in the background so that when the product "wakes up," the advice is up-to-date.
Why would I use Snooze instead of just deleting the line?
If you simply delete a line from a purchase order, Optiply might suggest it again immediately if you refresh the advice. Snooze explicitly tells the system, "I saw this, and I don't want it right now," preventing it from reappearing until the designated time.
