π Updating the Expected Delivery Date for Purchase Orders
The Expected Delivery Date is the date you anticipate a purchase order will be fully delivered, checked, and processed into available stock in your warehouse.
How the Date is Determined
When you create a purchase order in Optiply, the Expected Delivery Date is automatically pre-filled for you based on your settings:
Expected Delivery Date = Order Placement Date + Supplier's Expected Lead Time
If the supplier or logistics status changes, you can update this date directly in Optiply to keep your inventory planning accurate.
Method 1: Update the Date for the Entire Order
If the entire purchase order is delayed or moved up, you can update the Expected Delivery Date on the Deliveries Page (the most common method).
Navigate to Deliveries: Go to the Deliveries page in Optiply.
Locate the Order: Find the specific purchase order you need to update.
Open the Calendar: Click on the small calendar icon located next to the existing delivery date for that order.
Select New Date: Choose the revised delivery date.
Apply Changes: Click the Apply button at the end of the update process.
This change applies the new date to all products within that purchase order.
Method 2: Update the Date Per Individual Product
If only specific product lines within a larger order are arriving late (or early), you can update the date inside the order view.
Open the Order: Navigate to and open the specific purchase order.
Locate the Product: Scroll down to the individual product line item that has a revised delivery date.
Open the Calendar: Click on the small calendar icon next to the delivery date for that specific product line.
Select New Date: Choose the revised delivery date for that product.
Apply Changes: Click the Apply button at the end of the update process.
This ensures that Optiply's forecasts and planning for the rest of the products in the order remain accurate, while only updating the delayed item.
API Integration: The Expected Delivery Date can also be updated via the Optiply API, which is often used for automated updates if your WMS/ERP system has tracking information that overrides the initial expected date.
β Frequently Asked Questions (FAQs)
Why is the Expected Delivery Date important?
This date is critical because Optiply uses it to calculate your future stock availability. If the date is inaccurate (e.g., late), Optiply might advise you to order later than necessary, increasing the risk of stockouts.
If I change the date, does it also change the supplier's Lead Time?
No. Manually updating the Expected Delivery Date on a specific order only affects that single order. It does not permanently change the standard Expected Lead Time set on the supplier page. That value must be updated separately.
Which method should I use: updating the full order or per product?
Use Method 1 (Full Order): If the entire shipment is delayed due to freight or logistics issues.
Use Method 2 (Per Product): If the supplier informs you that only certain items on the purchase order will be short or delayed.
What happens if the actual delivery date is earlier than the Expected Delivery Date?
If the order arrives and is processed earlier than the Expected Delivery Date, Optiply will automatically register the stock and use the actual arrival date to calculate the supplier's Measured Delivery Time average moving forward.
