How to: Find my placed orders

Learn where to find your successfully placed purchase orders in Optiply and how to easily export them as PDF, CSV, or Excel files.

Once you have finalised and placed a purchase order on the Purchase page, you might wonder where it goes. As soon as an order is confirmed, it is automatically moved out of your drafts and into your active delivery tracking pipeline.

Here is exactly where to find your placed orders and how to export their details.


🚚 Step 1: Navigate to the Deliveries Page

To view any order that has already been placed, look at the main navigation menu at the top of your Optiply dashboard and click on Deliveries.

This page is your central hub for tracking all incoming stock. Depending on the status of your order, you will find it categorised under one of the tabs at the top:

  • Overdue orders: Orders that have passed their expected delivery date.

  • Today & Future orders: Active orders that are currently on their way.

  • Completed orders: Orders that have been fully received and closed.


πŸ“₯ Step 2: Export Your Order

If you need to send a physical copy of the order to your warehouse team, or if you need to email the raw data to a supplier who doesn't use the automated email integration, you can easily export the order file.

  1. Locate your specific order in the Deliveries list.

  2. Look to the far right side of that order's row and click on the Options icon (the three vertical dots).

  3. From the dropdown menu, select your preferred export format. You can export the order as:

    • Excel (.xlsx) file

    • PDF (.pdf) file

    • CSV (.csv) file


❓ Frequently Asked Questions (FAQs)

How do I find a specific order if I have hundreds of them?

You don't need to scroll endlessly! You can use the Search bar at the top left of the Deliveries page to instantly look up a specific Order ID or Supplier name. You can also use the Filters button to narrow down the list by date ranges or specific categories.

Can I still edit an order once it is on the Deliveries page?

Once an order is placed and moved to the Deliveries page, the core purchase advice is locked in. However, you can click on the Order ID to open it and manually update the expected delivery date or adjust the received quantities as the physical stock arrives at your warehouse.
