❌ A Supplier is Missing from the Purchase Page

When you are ready to place an order but a specific supplier is completely missing from your Purchase Page agenda, it can bring your workflow to a halt.

If you are not seeing your supplier among your order advice, the algorithm is likely missing a crucial piece of data required to generate a purchase order, or a specific setting is hiding them. Here are the most common causes and how to quickly resolve them.

Check your missing supplier against these 5 common scenarios:

Cause 1: The Supplier is Set to 'Ignore'

If a supplier is toggled to "Ignore," Optiply will completely exclude them from the purchasing agenda, regardless of your stock levels.

  • The Fix: Navigate to the main Suppliers page. Find the supplier in question on the list, click to open their details, and set the Ignore toggle to the Off position from the general options.

Cause 2: Missing Delivery Times or Order Periods

Optiply cannot calculate when to order if it doesn't know how long delivery takes or how often you plan to buy.

  • The Fix: Check the supplier's settings and ensure the Delivery (Lead) Time and Manual Order Period have been filled in.

⚠️ Important Note: As soon as you adjust these details, the system needs to run a new calculation. The supplier will appear on the agenda the very next day.

Cause 3: No Products Linked to the Supplier

The system cannot generate a purchase order for a supplier if it doesn't think they sell anything!

  • The Fix: Make sure that the relevant products in your source system (e.g., Shopify, Lightspeed, Exact) are actually linked to this specific supplier.

Cause 4: No Products with a Sales History

Optiply is a data-driven forecasting tool. We do not plan purchase advice for a supplier if none of their linked products have any historical sales data yet. The algorithm needs a baseline of demand to start calculating!

Cause 5: Syncing Delays

If you just added the supplier to your webshop an hour ago, they might simply not be in Optiply yet.

  • The Fix: Unfortunately, we do not receive new suppliers from all source systems in real-time. In those cases, we refresh the data overnight. It can therefore take up to 24 hours before newly created suppliers or product changes push through to our system, depending on your specific webshop or WMS integration.

How can I check if my products are linked to the right supplier?

You can navigate to the Products module in Optiply and use the filter to sort by supplier. If you select the missing supplier and the list is empty, it means your source system has not passed the linking data to Optiply.

I just turned the 'Ignore' toggle off. Will the supplier appear immediately?

Depending on the time of day and your specific data sync, you may need to wait for the overnight calculation run for the full purchase advice to populate on the Purchase Page agenda for the following morning.
