To add or update information in Optiply in bulk, you can use a standard .csv file. While many integrations automatically sync this information to Optiply, others do not. For systems that do not automatically transfer data, bulk imports allow you to quickly create and update your records.

Optiply supports several specific types of imports depending on the data you need to update:

Note: If you are importing directly from the Product page, only product and supplier product attributes will be imported. If you import from the Supplier page, only supplier settings will be updated.


⏱️ 2. Tracking Your Import Progress

Depending on the size of your CSV file, processing the import can take some time.

Once your import starts, you can track its progress directly in your account:

  1. Navigate to Settings.

  2. Click on Data Management.

  3. Select the Imports/Exports tab.


πŸ›‘ 3. Crucial Import Rules & Warnings

⚠️ DO NOT Overwrite Synced Data! Imports should only be used for integrations that do not automatically support data transfer through the source system. Importing data via CSV that is already synced through your main source system (like WooCommerce or Shopify) will always be overwritten by the next automated sync. In some cases, this can duplicate products and suppliers, causing major discrepancies in your stock data.

Formatting Requirements:

  • The information must be provided in a fixed format.

  • The file must be a standard .csv file.

  • Data must be separated by commas.

When should I use the bulk import feature?

Imports should only be used for integrations that do not support automatic data transfer through your source system. If your integration already syncs this data, we advise updating the information directly in your source app or via our public API instead.

What happens if I import data that is already synced by my integration?

Any data you manually import that is also synced through your source system will always be overwritten during the next automatic sync. Doing this can also mistakenly duplicate your products and suppliers, causing major discrepancies in your stock data.

What exactly gets updated when I run an import from specific pages?

It depends on where you initiate the import! If you run the import from the Product page, only product and supplier product attributes will be imported. If you run it from the Supplier page, only your supplier settings will be updated.

What if I encounter errors during the import process?
