π₯ Imports: Overview & Best Practices
To add or update information in Optiply in bulk, you can use a standard .csv file. While many integrations automatically sync this information to Optiply, others do not. For systems that do not automatically transfer data, bulk imports allow you to quickly create and update your records.
ποΈ 1. Types of Imports
Optiply supports several specific types of imports depending on the data you need to update:
Supplier Imports: Create new suppliers and update existing ones.
Product Imports: Update your webshop product information.
Product Compositions: Import composed (assembled) products.
Promotions Imports: Import specific promotion data.
Supplier Products: Create the relationship between a product and a supplier, and update specific supplier product details (like cost or lead time).
Sales Order Imports: Update historical or current sales data.
Buy Order Imports: Update purchase order data.
Note: If you are importing directly from the Product page, only product and supplier product attributes will be imported. If you import from the Supplier page, only supplier settings will be updated.
β±οΈ 2. Tracking Your Import Progress
Depending on the size of your CSV file, processing the import can take some time.
Once your import starts, you can track its progress directly in your account:
Navigate to Settings.
Click on Data Management.
Select the Imports/Exports tab.
π 3. Crucial Import Rules & Warnings
β οΈ DO NOT Overwrite Synced Data! Imports should only be used for integrations that do not automatically support data transfer through the source system. Importing data via CSV that is already synced through your main source system (like WooCommerce or Shopify) will always be overwritten by the next automated sync. In some cases, this can duplicate products and suppliers, causing major discrepancies in your stock data.
Formatting Requirements:
The information must be provided in a fixed format.
The file must be a standard
.csvfile.Data must be separated by commas.
