π Imports & Exports
Whenever you upload a bulk CSV file to update your catalogue, or request a large data export from the system, the Imports/Exports page acts as your historical transfer log.
This page allows you to monitor the progress of ongoing data syncs in real-time, check for upload errors, and re-download previous files. To access this page, navigate to Settings in the main top menu, open the Data management dropdown in the left-hand sidebar, and select Imports/Exports.
π₯ 1. The Imports Tab
The Imports tab is where you go to verify that your bulk uploads (like updating supplier constraints or maximum stock levels via CSV) were successfully processed by the system.
The table provides a detailed, row-by-row breakdown of your file's journey.
Because bulk files can contain thousands of lines, you can scroll horizontally across the table to view the specific outcome metrics for each upload:
Total records: The total number of data lines detected in your uploaded file.
Succeeded: The number of lines that were successfully processed and updated in Optiply.
Failed: The number of lines that contained errors and were not updated.
Skipped: The number of lines the system bypassed (usually because no changes were detected compared to the existing data).
Status: The overall progress of the file. Once finished, you will see a green checkmark marking it as Complete.
Troubleshooting Failed Imports
If you notice numbers in the Failed column, it means a portion of your file was rejected. The most common reasons for a line to fail include:
Invalid Data: A cell contained letters when the system expected numbers (e.g., typing "Ten" instead of "10" for a lot size).
Missing Products: The SKU or product identifier in the file does not currently exist in your Optiply database.
π€ 2. The Exports Tab
Switching to the Exports tab allows you to find a historical log of all the files and reports you have downloaded from the Optiply app.
This acts as a convenient digital filing cabinet. If you need to access a report you generated last week, you don't need to request it again!
Re-download: When a file is ready, you can download it as many times as you need.
Rename: Click the options menu next to a specific export to rename the file so you and your team can easily identify what the data was used for.
β 3. Frequently Asked Questions (FAQs)
Why is my Import stuck on "Processing"?
If you uploaded a massive file (e.g., updating 50,000 SKUs at once), it can take several minutes for the system to validate and process every single line. You can refresh the page to see the Succeeded count go up in real-time until the status changes to Complete.
If some lines failed, do I need to re-upload the whole file?
No! The lines in the Succeeded column was successfully saved to your database. You only need to fix the specific rows that contained errors and upload a new, smaller file containing just those corrected lines.
I don't see the Imports/Exports option in my Data Management menu.
Bulk data transfers are an advanced feature. If you cannot see this page, ensure that your Shop Administrator has turned the Imports and Exports toggles to "On" inside your Settings > Additional settings > Data management menu!
