π€ Understanding Workflows
Workflows in Optiply are customizable automations designed to make your life easier. They allow you to automate repetitive tasks, schedule background actions, and seamlessly integrate various data sources so your operations run smoothly and efficiently.
Whether you want automated reports sent to your email, inventory to be calculated in specific lots, or purchase orders to place themselves, Workflows have you covered!
To access this feature, navigate to Settings in the main top menu, open the Data management dropdown in the left-hand sidebar, and select Workflows.
π 1. Requesting a Preset Workflow
Optiply comes with a library of powerful, pre-built workflows that address common supply chain challenges. To browse and activate one of these:
Click the blue Set-up workflow button on the main Workflows page.
A modal will appear displaying a list of available automations (e.g., Automated order placement, Buy order concepts, Calculate inventory in lots).
Click on any option to expand it and read its specific Description. For example, the Custom ABC categorisation workflow automatically reclassifies products based on their 12-month sales performance.
Select the radio button next to the workflow you want, and click Request workflow.
Our team will receive your request and activate the automation for your account!
π οΈ 2. Requesting a Custom Workflow
If you need something completely unique to your business that isn't on the preset list, you can request a tailored automation!
Open the Set-up workflow modal.
Scroll to the very bottom and click on the Custom workflow box.
A text box will appear. Provide a clear, detailed description of exactly what kind of workflow you want to set up (What is the trigger? What is the action? What data needs to be moved?).
Click Request workflow.
Our support team will review your requirements, determine the technical feasibility, and reach out to help you get it set up!
β 3. Frequently Asked Questions (FAQs)
Why do I have to "Request" a workflow instead of just turning it on?
Because workflows often automate critical data movements or actual financial purchases (like automated order placement), our team carefully provisions these requests on the backend. This ensures the automation is configured safely and perfectly matches your webshop's unique data structure before it starts running.
Are Workflows available on all Optiply plans?
No. The Workflows feature is an advanced automation tool and is unavailable in the Optiply Lite version. If you are on the Lite tier and wish to use workflows, please contact your Customer Success Manager to discuss upgrading your plan.
What happens if a workflow breaks or does something unexpected?
If you ever notice an automation behaving incorrectly, please reach out to our support team immediately through the in-app chat or at support@optiply.nl. We can pause the workflow and troubleshoot the logic for you!
